Q: How do I tag files and folders?

Files and folders are tagged by using Windows Explorer. Select one or more files or folders in Explorer and bring up the context menu by right clicking. Choose "SmartFolder Tags..." from this context menu. When the dialog box appears, pick from among the existing Tags shown or press the "New" button to create a new Tag.


Q: How do I tag Web Sites?

You tag web sites within Internet Explorer by right-clicking on the web page and choosing "SmartFolder Tags" from the context menu. The same dialog box comes up as would for files and folders. Again, pick from among the existing Tags shown or press the "New" button to create a new Tag.


Q: How do I tag Outlook Items?

Microsoft Outlook maintains its own notion of 'categories'. My SmartFolders integrates seamlessly with Outlook in two different ways. First, it automatically associates Outlook 'categories' with SmartFolder Tags if their names match. For example, if you add a category "Customer Meeting" to an eMail or Calendar Appointment and you had a Tag also named "Customer Meeting", then that Outlook item would, in effect, be tagged with "Customer Meeting" and would be displayed in the appropriate SmartFolders.

Second, My SmartFolders automatically makes associations between certain Tags and Outlook items with certain attributes. For example, if you have a Tag named "Outlook Flag Red", then all eMail with Microsoft's Red flag will be assigned that Tag. Similarly, the Tag "Outlook Appt Future" is automatically applied to all Outlook Calendar Appointments that have not occured yet.


Q: How do I create SmartFolders?

You create SmartFolders by using Windows Explorer. The "My SmartFolders" namespace is located on your Desktop. You find it by either double-clicking on the "My SmartFolders" icon on your Desktop, or by using the left-hand folders pane in Windows Explorer to navigate to "My SmartFolders" under "Desktop".

All folders that you create under "My SmartFolders" are, in fact, SmartFolders. In the same way that you create a folder using Explorer on, say, your C:\ drive, you create a SmartFolder. From the right-hand view pane, right click on an empty space and select New->SmartFolder from the context menu. The view will then contain a SmartFolder named “New SmartFolder 1” that you should rename. Type in a name for your new SmartFolder and hit Enter.

Your new SmartFolder is empty until you provide a QuerySpec for it. A QuerySpec is a list of Tags that qualify files for inclusion in the SmartFolder.


Q: What's a QuerySpec? ..or.. How do I populate a SmartFolder?

A QuerySpec specifies which Files, Folders, Web links and Outlook Items should go in any particular SmartFolder. It does this by allowing you to choose Tags from a list.

When you created a new SmartFolder, a QuerySpec was also created, but it was created empty. To change it, right-click on the view and select "Properties" from the context menu. You may also bring up the Properties dialog box for the SmartFolder from the left-hand pane.

To specify that this SmartFolder should include files Tagged with a particular Tag, simply click the checkbox for that Tag. If you select more than one Tag, files matching any of the checked Tags will be included in this SmartFolder. To indicate that files much match all of the checked Tags, click the All button on the Any/All control directly above the Tag list.
